Letter to the School Chairman for approval of budget for Annual Day

Respected Sir,

I wish to take this opportunity to express my sincere gratitude to you and the Managing Committee for your unwavering support and visionary leadership, which have always been a guiding light for all of us. I must acknowledge that, under your stewardship, we have never faced a shortage of funds when it comes to the growth and development of the school.

As you are aware, the annual budget for the forthcoming year has already been approved by the Management. However, considering the exceptional achievements of our school this year, I feel that it would be fitting to celebrate our Annual Day on a more grandiose scale.

In light of this, I am writing to seek your approval for an enhancement of the budget allocated for this purpose.

With your kind consent, I propose hiring a suitable auditorium outside the school premises and hosting three separate shows instead of one: one exclusively for the students, and the other two for parents, invited guests from neighbouring schools, and distinguished personalities from the city. I envision cultural performances of a high calibre, tailored to suit the diverse audience.

Naturally, a celebration of this magnitude will entail additional expenses, particularly in areas such as costumes, expert guidance for the stage performances, auditorium rental, the printing of high-quality invitations, and hospitality arrangements. The current budget of ₹8,00,000 will be insufficient to cover these costs.

Given that you have previously expressed a preference for not seeking external sponsorship for school events, I humbly request your approval for an additional sum of ₹4,00,000 to meet these extra expenses. In the past, there has never been a constraint on fund allocation, and I am confident that you will find merit in this proposal and kindly sanction the additional budget for the Annual Day celebrations.
