Subject: Your Abrupt Resignation

Dear Mr. Singh,

I have received your resignation letter, submitted on 25 August 20XX. informally via WhatsApp to the Vice Principal. This is invalid because technically she is not your employer.

Such communication does not abide by professional protocols, therefore, can not be accepted.

As per the terms of your employment, it is imperative that you submit a formal resignation letter directly to the Principal.

This should be done in writing, with a minimum of three months' notice as stipulated in your contract. Should you be unable to fulfil this notice period, the alternative is to provide the equivalent of three months' salary.

In addition, you are required to complete the necessary formalities for a proper handover and obtain a relieving certificate.

You are advised to adhere to the guidelines of termination of service from your side. Therefore, kindly submit the necessary documents to facilitate a smooth transition.

We value your contribution during the past 6 years and hope that you will follow professional approach while leaving the job, failing which, you may lose entitlement to service benefits.
